Roles and permissions

Learn what each of the four predefined team roles can access so you can assign the right role to every team member.

description View as Markdown

Entase gives every team member one of four predefined roles. Each role controls exactly what that person can see and do inside your account. Choosing the right role keeps sensitive settings protected while giving staff the access they need to do their job.

The four roles at a glance

RoleTypical team memberKey restriction
AdministratorCo-owner, trusted managerNone
ModeratorEvent manager, marketing leadCannot access partner Settings or initiate wallet withdrawals
CashierBox-office or front-of-house staffLimited to sales, stats, coupons, and price policies
UsherDoor staff, ticket scannerValidation tool only

Administrator

Administrators have full access to every feature in your Entase account — identical to the account owner. This includes:

  • All event and venue management
  • Partner Settings (billing details, integrations, payout configuration)
  • Initiating wallet withdrawals
  • Managing the team itself, including inviting members and changing roles

Assign this role to co-owners or senior managers you fully trust with financial and account-level settings.

Moderator

Moderators can do almost everything an Administrator can, with two important exceptions:

  • Cannot access partner Settings — they cannot view or change billing, integration credentials, or payout configuration
  • Cannot initiate wallet withdrawals — financial disbursements remain in the hands of Administrators only

Everything else — creating and publishing events, managing orders, running reports, configuring seating, handling customer communications — is fully available.

Assign this role to event managers, marketing leads, or any staff member who needs broad operational access but should not touch financial or account-level settings.

Cashier

Cashiers have a focused set of permissions designed for box-office and front-of-house sales work:

  • Box office — sell and manage tickets on behalf of customers
  • Statistics — view sales reports and performance data
  • Coupons — apply and manage discount coupons
  • Price policies — view and apply pricing rules at the point of sale

Cashiers cannot create or edit events, access partner Settings, or manage other team members.

Assign this role to box-office agents, venue reception staff, or anyone whose primary job is processing ticket sales in person or over the phone.

Usher

Ushers have the most limited access of all four roles. They can use the ticket validation tool only — scanning or manually checking tickets at the door to mark them as used.

They cannot view sales data, access the box office, or make any changes to events or settings.

Assign this role to door staff, security personnel, or volunteers whose sole responsibility is checking tickets at entry points.

Choosing the right role

Use these questions to guide your decision:

  • Does this person manage events or the account day-to-day? → Administrator (if they also need financial access) or Moderator (if they should not)
  • Does this person sell tickets at a venue or over the phone? → Cashier
  • Does this person only check tickets at the door? → Usher

When in doubt, apply the principle of least privilege: start with the most restricted role that still lets the person do their job, and upgrade only if needed.
