Use the settings menu on a scheduled Program item to manage sales, communicate with attendees, export guest information, and access event-specific tools. For an explanation of Program statuses and when they apply, see Program layout and event statuses explained.
- Select Program from the main menu.
- Find the scheduled event item you want to manage.
- Click
button on that item.
The available actions depend on the event's status and booking history.
View event statistics
Click Statistics to open the Statistics page with pre-defined filters for the selected event. It filters the event and sets the calendar to "The whole time". This gives you full insights for that event only.
Share a scheduled event
Click Share to open the sharing options. These provide the same sharing features available when sharing an Event, but the short link generated here points directly to checkout for that scheduled event date.
Use this option when sharing a link for social media checkout.

Open ticket validation
Click Ticket validation to open the ticket validation page. It adds an additional scanner restriction so that it scans tickets issued only for the selected event.
Export the guest list
To download issued tickets and customer information as a PDF or CSV file, see Exporting the guest list from the Program.
Send a message to the event audience
To message customers with confirmed bookings for the event, see Sending a message to the event audience.
Open or close sales
Depending on the event status, the settings menu shows either Open sale or Close sale.
Click the available button to change the event's status:
- Open sale opens the event for purchases.
- Close sale closes online sales.
If the event is Pending, you can lock seats before starting sales. See Locking seats for how to do this.
Perform a full edit
A scheduled event is eligible for a full edit only when both of these conditions are met:
- Its status is Pending or Closed sale.
- It has no bookings yet.
To make a full edit, click Edit in the event settings.
If Edit is not available:
- Check that the event is set to Closed sale.
- If it is already Closed sale and Edit is still unavailable, the first booking order has happened and the event is no longer eligible for a full edit.
- Click Settings instead to make limited changes in the scheduled event settings.

Cancel an event
To cancel a scheduled event, first change its status to Close sale so the Cancel button appears. For the full step-by-step cancellation guide, including customer notifications and refunds, see Canceling an event.
Where possible, reschedule the event instead of canceling it. Entase supports 1-click easy reschedule: tickets are re-validated for the new date and attendees receive a notification about the change.
