Co-hosting an event

Co-hosting lets you share a production with another organizer on Entase so that both parties can work together on the same event. This article explains how to set up co-hosting, what each role can do, and how shared events appear in each organizer's Program.

Sharing a production with a co-host

To open the Co-hosts panel:

1. Go to the Events page.
2. Find the event you want to share and click .
3. In the sharing popup, open the Co-hosts tab.
   To add a co-host:
4. Search for the organizer by name.
5. Select their organizer profile.
6. Wait for the organizer to accept the invitation.
   The invited co-host receives a notification at the top of their Events page. Collaboration starts only after they accept the invitation.

How co-hosting works

Once the invitation is accepted, the event appears in both organizers' Programs. Each co-host sees only the dates they scheduled themselves, while the event owner sees all scheduled dates.

Example: each organizer schedules a date

Organizer 1 shares an event with Organizer 2 and Organizer 3:

• Organizer 1 schedules the event in New York.
• Organizer 2 schedules it in London.
• Organizer 3 schedules it in Sofia. Organizer 1 can access the New York, London, and Sofia dates. Organizer 2 can access only the London date, and Organizer 3 can access only the Sofia date.

Example: only the owner schedules dates

Organizer 1 shares an event with Organizer 2 and Organizer 3, then schedules dates in Atlanta and San Francisco.

Organizer 1 can access both dates. Organizers 2 and 3 cannot access either date because they did not schedule them.

What co-hosts can do

After accepting the shared production, a co-host can:

• Box office sales — sell tickets and process reservations through their own box office on behalf of the event.
• Statistics — view sales and attendance data for the shared production.
• Messaging the audience — send messages to ticket holders of the shared production.
• Viewing bookings — browse and look up individual bookings made for the event.

Removing a co-host or unsharing an event

The event owner can remove a co-host at any time:

1. Open the event's sharing popup by clicking on the Events page.
2. Open the Co-hosts tab.
3. Click Remove next to the co-host.
   A co-host can also remove the event from their own account by clicking the unshare icon below the event item. They lose access to the event unless the owner shares it with them again.
